Responsibilities include: • Maintenance of office building premises including: – Security Agreement (including Secure Transportation Services Agreement) – Lease Agreement – Office Generator – Furniture & Fixtures – Air conditioning & Heating – Parking area management • Manage purchasing of supplies and maintaining inventory, filing system, courier services, photocopying etc. (follow Procurement Rules) Additional responsibilities: • Supervising the Project Accountant and ensure the following is practiced efficiently & effectively:  Financial management of the PA2J project, supported by preparing / developing various MS Excel tables encompassing the details in an articulate manner (All receipts are kept, relevant descriptions and complete set of supporting documents should be available with the processed payments)  Making payments to the short-term, long-term experts and salaried to project staff  Over-head project office costs (all types of utility bills etc. on monthly basis)  Payment of monthly office rent  Manage logistics costs (this includes boarding & lodging etc.)  Security services charges for the office (Incidental expenses must be accounted for very carefully and they must carry complete set of supporting documents) • Maintenance of accounts on monthly basis and submitted to Project Manager at the end of each month • Submit all office accounts and original receipts on a bi-annual basis via courier to the Project Manager in Ireland Management of Fixed Assets (FAs) – Collect details of FAs from the Project Accountant on quarterly basis – Manage inventory of FAs based upon the data received and get it verified by the custodian(s) – Ensure that all FAs must carry the allocated codes (both by putting on stickers and using permanent markers) – Seek prior approval from the Team Leader with regard to the Movement or Removal of FAs – Asset Movement and Removal forms must be filled on time and presented to the Team Leader Supervise • Front Desk Office – Receiving office visitors and callers in a professional manner • Answering phones – Logging information on calls received and maintain detailed and accurate records • Secretarial tasks • Manage positive relationship with wide range of vendors and service providers • Undertake other tasks reasonably assigned by the Team Leader and Project Director Project Administration & Logistics • Documentation filing, archiving, maintenance, preparation and distribution • Arrange meetings with wide range of stakeholders; accompany the Team Leader and Key Experts at meetings if needed • Organise and follow-up for smooth execution of events / workshops / seminars / trainings • Travel to manage administration / logistics for events / workshops / seminars / trainings • Manage designing, printing and distribution of multiple publications • Respond to staff requests for administrative support as needed
